Add New Users Wizard: Now, you have the ability to upload multiple users at once using the batch upload wizard which can be found in the Users Tab under Upload New Users.

2012 I9 and W4 Updates: For those districts that send the I9 and W4 form to new hires, we have updated the new forms for 2012.

AdminFit: All current AppliTrack Recruiting clients can use the new AdminFit screening tool for one administrative vacancy for free! Simply select the AdminFit application page when creating a job posting and your applicants will be asked to take the test. Scores and reports will appear in the applicant list view when reviewing applicants.

New AppliTrack Facebook App Released!

All AppliTrack systems have been updated to allow district vacancies to appear on your organization's Facebook page.

Follow the steps below to use the new feature:

1. Go to the AppliTrack Facebook App at http://www.facebook.com/apps/application.php?id=242302395816738

2. Click Add to My Page which is found on the left side of the page

3. Select the Facebook page on which you want your jobs to appear

4. Go to the Facebook page that you selected

5. Click on the words Job Opportunites which can now be found on the left side of your page

6. Type the name of your district into the search box

7. Click Select

Now, applicants can apply directly to your vacancies through your Facebook page. And, you can share vacancies with your Facebook friends and allow for your friends to do the same!

A few nice enhancements have been released into your AppliTrack system.

Interview Manager Cutoff Time
Now, you can assign a cutoff time to an interview slot so that applicants are unable to select an interview time less than one, two, three, etc. hours prior to the session start time. For example, you may not want an applicant to choose an 8:00 AM interview time slot at 7:15 AM on that same day. Now, you can ensure that you have ample time to prepare for any interviews that are scheduled by applicants.

Adminstrator Home Tab Message
AppliTrack SuperUsers may now create a custom messege that is displayed to all district AppliTrack users. For example, you may want to post a message to all administrators that says, "Reminder, all teacher evaluations are due March 1st!" From the Home Tab, simply click "Edit Message" at the top of the screen where it says, "Welcome!"

Administrator Questions Now Available!

As you know, the Interview Manager contains an Interview Questionnaire Builder that allows you to choose from over 1,300 questions appropriate for various K12 classified and certified positions. This is a free feature in the AppliTrack Interview Manager.

Last night, we released the Administrator Interview Question library. The new Administrator Interview Question Library helps organizations quickly create job specific interview questionnaires, by providing nearly 1,500 additional questions broken into 37 administrator job categories. Questions in the library can be used as-is of tailored to meet the individual needs of their organization, department, and/or a particular position.

There is a one-time, flat fee of $300 for unlimited use of the Library within your organization.

Mark Applicant as Hired Update
AppliTrack has been updated to include a feature that will allow you to identify the specific vacancy for which a particular applicant is being hired in a much easier manner. Once you hire an applicant, open the applicant's NotePad. Next, in the "Hired" area, choose "Yes". Then, AppliTrack will prompt you to identify the specific vacancy that the applicant will be filling. Additionally, you will be able to state the date that the position was filled and deactivate the posting on the same screen.

Polaris Continous Improvement Study
If you use the Polaris TeacherFit and/or JobFit tools, you will notice an additional feature when you mark an applicant as "Hired". Now, you can have automated performance surveys sent to the new hire's principal. The principal will then receive a survey about the new hire's job performance six months and twelve months after their hire date. This data will allow us to validate the Polaris tools and you to follow your new hires to ensure that high performing applicants on the Polaris tools also are high performers on the job.

Make a Folder Appear in Find by Vacancy Screen

While it has always been possible to create a folder for a specific vacancy, AppliTrack has been updated to include a new feature that allows you to associate a folder (not just by naming it) with a specific job vacancy. The primary value of this new feature is that you have the ability to access all of your applicants to a specific job posting- i.e., screened applicants, interviewed applicants, released applicants, etc.- from the Find by Vacancy screen.

To use this new update, simple select the vacancy to which the folder should be associated when creating the folder. This will allow your folders for the vacancy to appear under the vacancy in the Find by Vacancy screen.

New Administrative Layout

Finally, you may have noticed that AppliTrack has a bit of a new look. The Administrative side of AppliTrack received a subtle facelift in order to give it look and feel that is consistent with the Applicant side of AppliTrack. Along with the updated look, we will have the ability to provide some pretty neat new features that will further enhance your experience with AppliTrack.

Happy New Year!

To help ring in 2011, we've released some cool updates in AppliTrack that should make things even easier for you.

Creating Folders
Now, when you create a folder and provide access to the folder to AppliTrack users, each user's name will be highlighted in GREEN once you select his or her name. Additionally, all selected users will be listed at the top of the list upon selection.

Routing Vacancies
When routing a vacancy to a specific user, a filter has been added that allows you to quickly type in the vacancy name or location while AppliTrack displays the results that match what you've typed "on the fly". You may then select the vacancy that you would like routed to that user. It is no longer necessary to scroll through all of your vacancies in search of the appropriate vacancy!

Of course, we are looking forward to many more updates in 2011!

Forms, Forms, Forms!

This week, we’ve released three enhancements to eForms in AppliTrack that will change the way you work with forms in AppliTrack.

Job Posting Forms

Do you have an employment recommendation form that should reflect the applicant and the position-filled? Tracking this information in AppliTrack just got easier now that eForms can be connected with job postings. To see the job posting forms in action, edit any job posting and click the Forms tab. You can even design your own forms to be associated with postings by accessing Setup > Edit Forms.

Applicant Forms

When you invite applicants to complete an eForm in AppliTrack, they now will securely login to access and submit information in a new applicant Forms tab. Multi-form Packets

The final eForms enhancement for this week is multi-form delivery. You can now send multiple eForms to a recipient within a single invitation. This eliminates repetitive delivery of forms and makes it possible to package a set of forms being sent to a recipient. For example, you may like to have new hires complete tax forms, review training materials, provide direct deposit information, benefits enrollment, etc. – the entire group of forms can be sent to the applicant in one invitation.

New Applicant List Views

We updated AppliTrack last night to include a new tool that allows you to create customized column presets for your applicant list views. For example, you may now pull up a list of applicants to a specific job and then select a preset called "Contact Info". Once you select this preset, the screen will automatically refresh and display each applicant's contact information.

Send a Form to Multiple Applicants at Once

AppliTrack was updated this week with a neat little feature that allows you to send multiple applicants a form at once. To use this tool, select the applicants to whom you would like to send a form by checking the box next to their name. Then, choose "Send a Form" from the blue panel on the left side of the screen. From there, select the form that you would like to send to these applicants.

Once you send the form, sit back, relax, and wait for these individuals to complete their form and send it back to AppliTrack...all without the use of a single sheet of paper.

Automated Phone Screening
AppliTrack is very excited to announce one of the coolest technologies to ever hit AppliTrack. The new feature allows AppliTrack users to automate the phone screening process by having AppliTrack call an applicant, read your prescreening questions (in a human's voice), record the applicant's responses, and have those recordings made available to your district AppliTrack users from within AppliTrack.

Cross-post Jobs to Teach.gov
The United States Department of Education will be launching a massive marketing campaign in October to encourage college students to consider the teaching profession. As part of this marketing push, they are adding a job board to their website, www.teach.gov. We worked closely with the Department to be sure that AppliTrack users would be able to capitalize on their big push.

Once the USDOE launches their new job board, you will see an option to cross-post your vacancies directly to Teach.gov in the AppliTrack Advertise tab. This, of course, will be free to AppliTrack users.

Internal Vacancy Report
Do you need to provide a report that details you vacancies and whether they were Internal, External, or posted for both types of applicants?

With the latest update to AppliTrack, you may now track and report on Internal vacancies.Â Look in the "Office Use Only" section on the Main tab in the Job Posting process.

Attach a File to an eForm
Let's say that you need to collect Driver's License information for a Bus Driver applicant. As you know, you can create an eForm that can be sent to an applicant asking them to provide information about their Driver's License.

With this latest update, you can now ask applicant's to attach a file, in this case, a copy of their Driver's License to this eForm so that you can not only review the completed eForm, but also review the uploaded document that you have requested of the applicant.

Time Zone
Go to Setup-Edit Preferences and choose the correct Time Zone for your district. Now, your Interview Schedule will match perfectly with your calendar!

Updated Sign-In Screen
While the new sign-in screen offers the same functionality of the old administrative sign-in screen, now, administrators are presented with a list of General ASP's upcoming free training sessions.

Job Posting Attachments
Has your district ever needed to associate a document such as a brochure about your community, benefits documentation, salary schedules, or other information to a job posting?Â If so, you'll find AppliTrack's new ability to attach documents to job postings very useful.Â Not only can these documents be made visible to applicants, but you can also attach documents such as scanned notes from an interview or an invoice from a newspaper ad that is associated with the job posting and make them only available to administrators.

McAfee Certification
General ASP recently underwent an intensive and rigorous security review by McAfee. All General ASP solutionsÂ have passed the McAfee intensive, daily security scan which helps keep you safe from identity theft, viruses, spyware, and other online threats.

As you already know, General ASP makes enhancements and upgrades to the AppliTrack system based, in part, on critical feedback from our users. Today's updates are a direct result of user feedback:

Print All Documents
A new button has been added to the applicant materials page that allows you to print all of an applicant's documents simply by clicking "Print all Documents". Clicking this button will turn the online application, cover letter, transcripts, etc. into one PDF document that can be printed. You will no longer need to open each document and print it separately.

Customize your Applicant Uploads
Now, you may add, remove, and update which documents you want your applicants to upload. Additionally, you may also indicate which of the documents are required prior to submission of an application. Previously, the General ASP TotalSupport Team would have to fill these requests for users.

Race to the Top Grant Enhancement

Even if your state has not been selected to receive the first round of Race to the Top Grant monies, your district will now meet a two of the important expectations set forth by the Department of Education for the use of these funds.

Last week, we shared how AppliTrack now tracks National Board Certified teachers. Today, we are excited to announce that all AppliTrack users can now track "High Need Vacancies" as defined by NCLB.

When you post a new vacancy in AppliTrack, you will see the option to identify the specific vacancy as being a "High Need" vacancy. You will also see the definition of "High Need" vacancies next to this this option.

Job seekers will then be able to search K12JobSpot.com for positions in "High Needs" schools by job type, location, or district. If your vacancy is marked as "High Need", it will be indicated to applicants.

The Race to the Top Grant program relies heavily upon the recruitment of Highly Qualified and/or National Board Certified teachers to High Need schools. We are glad that AppliTrack and K12JobSpot now assist in meeting this objective.

AppliTrack is Tracking National Board Certified Applicants

National Board Certification Status
AppliTrack has been enhanced to collect an applicant's National Board Certification status so that you may very quickly and easily identify those applicants to your school district who have received this prestigious distinction.

When reviewing applicants, simply add the column called "NBCT" (National Board Certified Teacher) and you can quickly view who has this certification. Also, you can sort and filter applicants based on this certification.

Whether or not your school district is participating in the Race to the Top Grant program, which relies heavily on identifying National Board Certified teachers, we are certain that you will find the collection of this applicant data of benefit.

Applicant Uploads Automatically Converted to PDF

Have you ever had an applicant upload a resume or transcript only to see that it was a HUGE document that took up your entire computer screen? Those days are over!

Last night, we enhanced AppliTrack so that each and every file uploaded by an applicant (JPG, GIF, DOC, TIF, etc.) is automatically converted to a perfect PDF document that can be easily displayed on any computer.

Software is free, people cost money.
AppliTrack is built with many “hooks” so that customization for each school district happens quickly and efficiently. As a company, we understand the power of systems and have put processes in place that allow us to complete support and customization requests faster and at a lower cost than any other vendor. Training
AppliTrack was designed to allow administrators to quickly discover how to use its features, basic and advanced, with little to no training. However, we include two-hours of web-based training in all subscriptions. Of course, you may desire more training or onsite training. We are not going to require you to commit to any additional training as part of your service agreement with us. If you want additional training, we are confident that you will let us know but we will certainly not obligate you to a financial commitment to training beyond what is included in your price. We don’t appreciate how other applicant tracking vendors charge such exorbitant fees for what we know to be such simple tasks.

AppliTrack has been serving school districts for over 10 years and is a stable and mature product. It does not require a team of engineers to hover over errors and malfunctions that may be present with other applicant tracking systems. AppliTrack’s stability saves General ASP money and we pass the savings along to our users.

Marketing Advantage
General ASP is a for-profit company that is interested in building long-term relationships with our customers. Because AppliTrack presents a school district with a very low financial risk, we find our standard rates to be a competitive advantage.
